AI transformation that starts with every employee.
Our voice AI interviews every employee in the departments you choose, one to one, and maps the workflows that take up their week. Then our engineers improve them with your team, using a simpler process, a tool you already own, a skill for your AI assistant or a custom agent, and measure the hours saved.
Example: a voice AI interviews someone in accounts payable about approving supplier invoices, on a call in a tool such as Microsoft Teams, Google Meet, Zoom or Slack. Their answers start a written record of the workflow with three steps and one rule. The examples end with three different improvements: a custom build connected to the ERP for supplier invoices, a configuration in the existing contract tool for NDA requests, and a skill for the existing AI assistant for demo requests. Each has a named owner on the client team.
Hear from everyone who does the work.
You cannot automate work nobody has written down, and most of it lives in people’s heads. A workshop hears whoever is in the room. One-to-one interviews and screen recordings capture the steps, exceptions and handoffs that never make it into a process map.
The usual way
- Every new consultant has to learn your business from scratch.
- Workshops hear from a handful of people.
- Process maps are drawn from memory.
- The loudest opinion decides what changes.
- A new tool is piloted, half adopted and quietly dropped.
- You end up with a slide deck.
- The new tool arrives with one training session for everyone.
With HandoverAI
- How your team works is written down once and kept.
- Everyone is interviewed, one to one.
- The work is recorded while someone actually does it.
- Evidence decides what changes, and how.
- Tools you already pay for are used properly before anything new is built.
- You end up with a working solution and a person responsible for it.
- Each person is trained on the new way of working, with material made for their role.
How it works, in six steps.

01
Interview
People explain their work in a conversation with our voice AI.
-
02
Shortlist
We pick out the workflows that take the most time.
-
03
Record
An expert demonstrates the workflow while we record it.
-
04
Decide
We rank them and choose between a simpler process, a tool you already own, a skill or a custom agent.
-
05
Implement
One to three of our engineers build it with your team, in your tools, test it and put it live.

Train and measure
Every person who uses it gets training made for their role. We measure time spent before and after.
Interviews find the work. Recordings capture the detail.
First, talk through the work.
Each person describes their day-to-day work in their own words. We combine the answers into a shortlist of workflows to record.

In this 50-second example, our voice AI interviewer asks about a task and its exceptions. The answers form a draft workflow for our team to review.

Alex Morgan: Yeah, so I match the bank export against the ledger.
Interviewer: Okay. What usually throws it off?
Alex Morgan: Mostly timing. We send a payment Friday, but the bank shows it Monday.
Interviewer: Right. How do you tell that from a missing payment?
Alex Morgan: I check the reference, then Monday's statement. If it's still not there, I flag it.
Interviewer: Okay, so you rule out timing first.
Interviewer: Take me back to the start. What do you need for month-end?
Alex Morgan: The bank statement and NetSuite ledger for the same account, currency, and period. I check the previous reconciliation, then review matches in NetSuite. Timing differences stay documented until they clear.
Interviewer: Where do you track the exceptions?
Alex Morgan: In Excel: reference, amount, reason, owner, and next check date. I log timing items separately from unexplained differences.
Interviewer: Who helps when timing doesn't explain it?
Alex Morgan: Payments go to accounts payable, receipts to receivables. I share the evidence in Teams and keep each item open until we understand it.
Interviewer: And when the ledger needs a correction?
Alex Morgan: I prepare the right entry in NetSuite and attach the evidence. Our finance manager approves it before posting. Then I return to matching and check the corrected transaction.
Interviewer: When can you finish the reconciliation?
Alex Morgan: We require zero unexplained difference. I check the statement end date and closing balance in NetSuite, include the cleared transactions, and reconcile. Genuine outstanding items remain documented.
Interviewer: Who signs it off?
Alex Morgan: Our finance manager independently checks the reconciliation and evidence. They approve the pack in Teams, or send questions back for me to resolve.
Interviewer: And where does the final record live?
Alex Morgan: The statement, NetSuite reconciliation report, Excel log, evidence, and approval go in our month-end SharePoint folder, with file version history. Open items carry into next month's log for another check.
Then, show the work with AgentHandover.
AgentHandover is the enterprise version of our open-source tool for turning recorded work into reusable skills for AI agents. Here, an expert demonstrates a shortlisted workflow and explains the steps, rules and exceptions.
-
Show the work
Record the actions on screen alongside the expert’s spoken explanation.
-
Capture the detail
Document the steps, the rules behind them and what happens when a case is unusual.

Keep the workflow record
Your team keeps the written record, whichever improvement you choose.
The right answer is not always an AI agent.
We rank workflows by hours spent and how hard they are to improve. For each one, we score four options against today’s process on quality, human checking and running cost.
Illustrative assessment using hypothetical scores. A longer bar is a better score. Today marks the workflow’s current performance.
- Quality of results
- Less checking by people
- Lower running cost
In this example, the existing tool gives good results with less checking and the lowest running cost.
Once you approve the approach, one to three of our engineers build and test it with your team, in your tools, without a long programme around it. Prompts, skills and custom builds are written from the workflow record, so they follow how your team actually works.
What you get.
Everything we build runs in your tools and accounts, and you own it.
- Workflow records and a prioritised improvement plan.
- Working improvements, each with a named owner.
- Training and practical guides for each role.
- Measured hours saved for each improved workflow.
- Runs in your environment, on-premise if you need it.
