Who we are

HandoverAI runs this website at handover-ai.com. We decide how the personal information collected through it is used. You can reach us about privacy at hi@handover-ai.com.

This notice covers the website, the intro call form and emails you send us. If your employer hires us, the interviews and workflow records from that project are handled under our written agreement with your employer. Your employer can tell you how that information is used.

What we collect

• The intro call form. When you send it, we receive your name, work email address and company. We also receive your phone number and message if you add them.
• Emails you send us. We receive your email address and whatever you choose to write.
• How the site is used. Google Analytics records the pages you visit, how you reached the site, your type of device and browser, and an approximate location based on your IP address. It uses cookies to tell visits apart.
• Server logs. Our hosting provider records technical details of each request, such as your IP address, the page requested and the time. These logs keep the site working and secure.

We do not ask for sensitive information such as health or financial details. Please do not include it in the form.

How we use it and why

• To reply to your request. We use the form details and emails to answer you, arrange a call and discuss working together. Our legal basis is taking steps you asked for before a possible contract, and our legitimate interest in answering business enquiries.
• To improve the website. We use analytics data in aggregate to see which pages are useful and where the site can be clearer. Our legal basis is our legitimate interest in running a useful website, or your consent where the law requires it.
• To keep the site secure. Our hosting provider uses server logs to deliver pages and to protect the site against abuse.

We do not sell your personal information or share it for advertising. We do not send newsletters or marketing emails from the form.

Cookies

The site itself does not set cookies. Google Analytics sets two cookies, named _ga and _ga_W5JC92X40P, which last up to two years. They let Google Analytics count returning visitors without identifying you by name.

You can block or delete cookies in your browser settings. You can also stop Google Analytics on every site with the Google Analytics opt-out browser add-on. The site works fully without these cookies.

Who else handles your information

We use a small number of service providers. Each one acts on our instructions and may only use the information to provide its service to us.

• Vercel hosts the website and runs the form.
• Resend delivers form requests to our inbox by email.
• Google provides Google Analytics.
• Our email provider stores the emails we send and receive.

We may also share information if the law requires it, or to protect our rights in a legal dispute.

Where your information goes

Some of these providers store or process information in the United States and other countries outside the UK and the European Economic Area. Where that happens, the transfer is covered by safeguards recognised under data protection law, such as the EU standard contractual clauses or the EU-US Data Privacy Framework.

How long we keep it

• We keep form requests and emails for as long as we are in contact with you. If we do not end up working together, we delete them within two years of our last contact.
• If you become a client, we keep business correspondence for as long as the law requires us to keep business records.
• Google Analytics keeps visit data for up to 14 months. After that it remains only in aggregate reports.

Your rights

Depending on where you live, you can ask us to:

• Give you a copy of the personal information we hold about you.
• Correct information that is wrong or incomplete.
• Delete your information.
• Stop or limit how we use it, including any use based on our legitimate interests.
• Send your information to you or another organisation in a common format.

Where we rely on your consent, you can withdraw it at any time. To make a request, email hi@handover-ai.com. We will reply within one month. We may ask you to confirm your identity first.

If you are unhappy with how we handle your information, please tell us so we can put it right. You also have the right to complain to the data protection authority where you live or work.

Security

The site is served only over an encrypted connection. Form requests travel encrypted from your browser to our hosting provider and on to our inbox. Only the people who answer enquiries can read them.

Children

This website is for businesses. It is not meant for children, and we do not knowingly collect information from anyone under 16.

Changes to this notice

If we change how we handle personal information, we will update this page and the date at the top.
